Position Title: Executive Assistant
Position summary: Assist the Executive Director and ensure the smooth functioning of the administrative office. Act as receptionist, assist with ticket sales, schedule meetings, recruit & coordinate volunteers, prepare materials, oversee office inventory & supplies, coordinate mailings, process mail. Quickbooks or other accounting software experience preferred. Full time position, benefit package.
Duties and Responsibilities:
Management:
- Work with Marketing Director to plan and execute Discovery concert events for children. (Determine budget, plan and schedule activities, design and post flyers, contract appropriate vendors/organizations, organize volunteers and/or staff supervision, attend event.)
- Assist with the coordination of the Masterworks Lunch & Listening series.
- Recruit and oversee volunteers; monitor volunteer rewards program and plan end-of-year recognition celebration (budget allowing).
Budget and Planning:
- Responsible for maintaining and ordering office supplies; coordinate maintenance of office equipment: computers, fax, copiers, phone system, printers and postage machine. (some IT knowledge beneficial)
- Track office and maintenance expenses to ensure that they stay within allocated budget.
Board of Directors:
- Responsible for taking minutes at the Board of Directors meetings. Distribute minutes as directed.
- Prepare materials for board and committee meetings.
- Correspond with the Board of Directors as needed.
- Maintain and periodically update database of the Board of Directors.
- Coordinate the annual board meeting in May.
Administrative:
- Welcome and direct visitors in person and by telephone.
- Act as Assistant to Executive Director. Schedule meetings, assist with preparation of materials for meetings, coordinate meeting facilities, make travel arrangements.
- Responsible for answering business line.
- Open, sort, distribute and post mail.
- Catalogue each check received in a daily check log.
- Code invoices related to office supplies and the facility.
- Take and distribute minutes for each staff meeting.
- Proofread multiple items.
- Maintain and update volunteer database, recruit office volunteers when needed, correspond with volunteer agencies.
- RISO materials.
- Coordinate the scheduling of the recital hall, prepare and collect rental agreements, arrange supervision for events held there and invoice renting parties.
- Process the printing and folding of the Chamber and Discovery series concert program books.
- Act as primary contact for the security system, cleaning and recycling companies.
- Document symphony related events (archive newspaper articles, press releases, program books, etc.)
- Prepare and mail orchestra contracts.
Box Office:
- Assist Box Office Manager with daily activities including ticket sales and phone traffic.
- Utilize ticketing software to sell tickets.
- Assist in taking and filling renewal orders.
Other:
- Assist the Box Office for all Masterworks, Pops and Discovery concerts. (weekend and evening hours).
- Any and all other duties as assigned.

Position Title: Development/Finance Assistant - part time position

Reports to: Director of Development
Position purpose: To assist in the coordination and implementation of development projects for the Cedar Rapids Symphony Orchestra.
Primary responsibilities:
- Utilize the Raiser's Edge donor software system to enter donations, generate reports, update donor records, and other applicable database tasks.
- Assist in the composition of appeal letters, generation of donor acknowledgment letters, monthly pledge reminders, and reception invitations.
- Schedule donor meetings and prepare supporting materials as requested.
- Coordination of development events including the organization of post-concert receptions.
- Assist in the preparation of grant and corporate sponsorship proposals.
- Handle confidential materials and be responsible for ensuring donor privacy.
- Assist in the preparation of donor lists for concert program books.
- Perform other duties as needed.
Qualifications:
- Proficiency in Microsoft Office with an emphasis in Word, Excel, and PowerPoint.
- Strong interpersonal, verbal, and written communication skills.
- Ability to handle confidential information in an ethical manner.
- Physical requirements include sitting for long periods of time, finger dexterity, hearing and seeing. Environmental requirements include working indoors.
- Strong interest in fundraising/development field preferred.
- Marketing, communications, or public relations background/major desirable.

Position Title: Finance Accounting Intern - part time position (not paid)
Reports to: Director of Finance
Position purpose: To assist in the coordination and implementation of accounting activities for the Cedar Rapids Symphony Orchestra.
Primary responsibilities:
- Assist in invoicing for individual and group lessons for the Symphony School and apply receivables associated with the billing
- Assist in completion of accounts payable
- Assist with payroll processing
- Assist with coordination of finance committee reports
- Perform other duties as needed
Qualifications:
- Strong interpersonal, verbal, and written communication skills.
- Ability to learn accounting software program in a timely manner
- Proficiency in Microsoft programs, particularly Excel
Desirable:
- Strong interest in accounting and finance field
- Accounting or finance background/major
- Any knowledge of accounting software programs such as Quickbooks, Quicken, etc. (not necessary)

Reports to: Development Director
Position purpose: To assist in the coordination and implementation of development activities for the Cedar Rapids Symphony. Opportunity for successful candidate to build marketable skills and gain valuable work experience in this position.
Primary responsibilities:
- Design and coordinate special event mailings such as invitations and other literature. Prepare invitation lists and other tasks related to the completion of department mailings.
- Utilize the Raiser's Edge donor software system to update donor records and other applicable database tasks.
- Coordinate development events including the organization of Donor Open Rehearsals and post-concert receptions.
- Handle confidential materials and be responsible for ensuring donor privacy
- Perform other duties as needed

Reports to: Director of Marketing
Position purpose: To assist in the coordination and implementation of marketing and public relations activities for the Cedar Rapids Symphony.
Primary responsibilities:
- Compose initial drafts of press releases for concerts, new hires, special events, direct mail, radio spots, PSAs, etc.
- Assist in the composition of sales & pitch letters and concert marketing materials
- Assist with soliciting and promotion of group sales
- Assist with volunteer ticket selling activities such as phone-a-thons, sales tables, etc.
- Assist with coordination of marketing board activities
- Conduct research to develop audience
- Learn about Box Office procedures
- Lead or assist with special event projects
- Assist with the general promotion of Cedar Rapids Symphony events
- Perform other duties as needed
Qualifications:
- Strong interpersonal, verbal and written communication skills.
- Strong organizational skills.
- Proficiency in Microsoft programs, particularly Word, Excel, PowerPoint & Publisher
Desirable:
- Strong interest in public relations/marketing field
